#### Accessing the Works Scheduler

1. In the left-hand navigation, click **Manage Works**.
2. Open the **Calendar** tab.
3. Use the **Week** / **Month** toggle above the calendar to choose your view.
4. Scroll vertically to see more technicians and horizontally to see more of the week.
5. Hover over a chip to see the job's location and a **View** button.
6. Click a chip to highlight its pin on the map or click **View** to open the Work Order in a slide-over without leaving the scheduler. You can choose to edit the work order after viewing it, if it is not currently in progress.

**Week view** shows Monday to Sunday and is best for day-to-day scheduling. Use the arrows next to the month to move one week at a time or the arrows next to the dates to move one day at a time.

**Month view** shows a fixed calendar month and is best for planning ahead, such as leave coverage and capacity gaps. Each day shows its number of Work Orders. Click the number to see that day's Work Orders in a pop-up.

Each active technician appears as a row, with their job count for the visible window beneath their name. The count updates depending on the week or month you’re viewing to ensure that technicians’ capacity matches the current time period. Scheduled jobs appear as chips, colour-coded by Work Order status and showing the incident type.

If a technician has more than three jobs on a day, click **+more** to see the rest in a pop-up. Days when a technician is unavailable appear blocked out (if availability was uploaded during onboarding) and you can't drop a Work Order onto them.

#### Creating a Work Order from the scheduler

1. Click **Create Work Order** at the top of the page.
2. Search for a report by incident type name or ID, then select it and confirm. You can also click to view the details of the report before progressing.
3. Set the Work Order details. The priority defaults to the report's priority or **Low** if the report has none.
4. On the scheduling step, click a cell to choose a technician and date. An orange box shows the slot you've picked.
5. Click **Next**, then confirm to create the Work Order.

To skip scheduling, click **Skip** or pick the **Unassigned** row to set a date but not a technician yet. The Work Order is saved as **Pending Schedule** and appears in the side panel. Click a selected slot again to deselect it.

**Tip:** Click any empty calendar slot to open the same creation flow with that date and technician already filled in.

#### Schedule and reschedule Work Orders

The Pending Schedule panel lists every Work Order that is not assigned a technician, a date or both. Overdue Work Orders (where today is past the scheduled date) appear at the top, with a count against each section. Work Orders with a requested reschedule from the Solve app are listed separately from unscheduled ones.

To schedule a pending Work Order:

1. Find the Work Order in the **Pending Schedule** panel.
2. Click its card to preview its location on the map.
3. Drag the card onto the technician row and date you want.

To reschedule or reassign a Work Order:

1. Find its chip on the calendar.
2. Drag it to a new date, a new technician row or both at once.

In Month view, click a day's number first, then drag the Work Order from the pop-up to another day. To send a Work Order back to pending, drag its chip onto the **Pending Schedule** panel. This clears its technician and date.

Dropping a card overrides any technician or date it already had. Work Orders with a requested reschedule keep their technician but lose their date.

Cards show whichever details are available: Work Order ID, Snap ID, scheduled date, technician, priority and an overdue flag. The panel loads 25 cards at a time, and more load as you scroll.

**Note:** Work Orders that are in progress or completed can't be moved or edited to prevent interfering with a technician who is working on a job.

#### Use the map and filters

The map sits above the calendar and shows a pin for every Work Order in the current view, using the same status colours as the chips. It updates as you move the calendar and respects any filters you've applied.

1. Look for pins close together to spot jobs you can batch for the same technician and day. Individual pins will indicate the assigned technician’s initials. The legend below indicates whether work orders are **Scheduled**, **In Progress**, **Completed** or **Unable to Complete.** A grouped pin uses the shared status colour if all its jobs match and orange if they don't.
2. You can click the map toggle to hide or show the map. Hide the map if you would like to create more space to view details on the calendar.
3. Use **Filters** above the map and choose the filters you want. The following filters can be applied:
     - Work Order ID - The unique identifier for the Work Order
     - Snap ID - The unique identifier for the associated Report
     - Work Order Status - The current status of the Work Order
     - Work Order Priority - The priority of the Work Order - Low, Medium or High
     - Technician - The technician assigned to a Work Order
     - Incident Type - The incident category for the report associated with a Work Order
     - Is Overdue - Whether the Work Order is overdue or not with respect to the scheduled date
     - Location - Where the issue is located
4. The filters will be applied to the map & calendar.
